There is also a third party iPhone / iPod touch application that will synchronize with Toodledo and allow you to work offline. This application is called Todo and is available from Appigo on the iTunes App Store for about $10 but to be honest I don’t see the advantage of paying for it.

So I bought the $10 Todo and ran it side-by-side with ToodleDo’s iPhone optimized task list. I found that I did indeed like the ability to quickly check my tasks without having to go online. I have now uninstalled the $10 ToDo application, deleted the link to the ToodleDo web application and absolutely love the $4 native ToodleDo application.
Toodledo on the iPhone has most of the same functionality that you get from using the website, and I am amazed by the amount of stuff you can do to your task list from their website. Check it out here.
But here is the kicker! I was the first person to document How To Get Alerts for Tasks on your iPhone and it has been a very popular article. But get this! It is even easier with the ToodleDo software.
- After you start the program, go to SETTINGS.
- Select SYNCHRONIZATION and set it to AUTO SYNC
- Then go to FIELDS USED and turn on DUE TIME
Now, the chain of events set up in How To Get Alerts for Tasks on your iPhone are even easier!

One question I have about these services is whether or not my tasks are stored on any third-party servers as part of the sync. Given the confidential nature of much of my work, I am always hesitant to store anything on a server that is not under my control. I am already paranoid enough about having this stuff on my phone! Can you shed any light on this?

Well, it has to be saved on a server because it is available online in your ToodleDo account. But as long as the account has a password / login like it does I was think the odds of someone hacking into your ToDo list is negligible

How do you get past the proxy setting pop up window when trying to set up the tooledo syncing application? Also Is there an iphone app to to sync with Outlook Contacts, not just Tasks?

Somebody else had the proxy problem and it just went away – try rebooting.
To sync Contacts I highly recommend MobileMe – It works like a champ and is totally worth the 50 bucks or whatever it is a year. Love it. Change something on my phoe – Outlook is updated, and vice versa.
Otherwise the settings are in iTunes and you need to dock your phone to sync. Trust me – MobileMe!

Press the icon and hold it until all of the icons start vibrating – then click the X for delete.
Pricewise and featurewise I think ToodleDo is a better deal – especially when you look at the web functionality

I see that subtasks are only available with the ProAccount of ToodleDo and I see where you would add subtasks in ToodleDo but any suggestions on how to sync the subtasks that exist in Outlook. Currently the only tasks that are syncing or the main folder of tasks…

Honestly I get confused reading all the reviews on the app store. I want a "To do" app that I can set up on my computer, sync to my iPhone and then manage by phone or computer. I already purchased Todo but I haven't seen that I can set up tasks on my computer but only on the iPhone. I like Toodledo for just that reason. Can you confirm that I cannot use ToDo to set up task on my computer? If not, then I'll switch and buy Toodledo.

You can type your tasks into toodledo's online web app (toodledo dot com) and then sync with Appigo's Todo app.

Incidentally, it anyone is looking to sync Notes (not Tasks) between Outlook and their IPhone, I can recommend Notespark (http://notespark.com/learn_more). Just like Toodledo, there is an IPhone extension you can purchase from the AppStore, for $4.99. Works quite well.

I'm still confused! I don't care about online syncing and don't want to use any sort of web-server. I have Outlook on my PC and that is where I store all of my tasks. I want to be able to sync an iphone with the tasks stored in outlook, and be able to view and modify that tasks on the iPhone. Then when I resync my iPhone to my computer, the tasks in outlook and on my iPhone will be the same. This is what I currently do with my Treo, but I think it uses Chapura for this.
Can someone comment on whether I can do this with an iPhone without using this online service?

I agree with bondisdead. I am migrating from a Treo to the iPhone and is a headache to get my Outlook notes and tasks to sync and act like they do on my Treo. iPhone reinvents everything but doesn't really improve it. The task and note set up of Outlook didn't pose any problem for Treo.

ToodleDo has an add-on for Outlook that will sync your Tasks between Outlook and their online server. This will allow you to have Outlook Tasks on your iPhone and in Outlook and allow them to sync with each other when either is updated.

I was facinated with Toodledo and then I looked up the Outlook Synchronization on their own web site:
"Warning: We have received a number of complaints that the Outlook sync tool can sometimes accidentally delete all of your tasks from inside Toodledo. Please remember that Toodledo cannot be held responsible for misbehaving third-party applications." (http://www.toodledo.com/connect_outlook.php)
I keep track of most everything via Outlook Tasks and was a breeze when I had my HTC 8525. But this comment from Toodledo scares me.

WOW! I decided to look further into this combination and see if it still would be useful and ran into this statement from chromadrake.
"The Toodledo servers will block any application that performs too many operations is a given time period. In order to avoid triggering this block the application will only send updates to the server at the rate of 1 update every 20 seconds. This can cause the first synchronizatio to take quite some time "
Can anyone verify if this is true or not? Because 20 seconds per task update is insane (I'm assuming that's per task). I also wasn't happy with the statment on the size of the note:
"Outlook task notes over 2048 bytes long will be truncated went transmitted to Toodledo"
I'm starting to really miss my ActiveSync. The iPhone is a killer phone, but as a productivity tool it has a lot of potential that hasn't been tapped (or Apple won't let it be tapped).

I used toodeldo for packing list pre trip and it was great. Now I see I have to pay $20/yr to have that list saved, OR retype it. Is there another way to save this list without having to pay the bucks? seems expensive for another 6 months, and I don't need any of the other "features". Thanks!

The synchronization options on the iPhone are all unacceptable, especially if you use a PC. Toodledo is a pitiful version of the blackberry application todomatrix, which is creating its desktop app. On the iPhone, every application is an attempt to create an ASP where you have to pay recurring fees for web access, as if nobody wants to use a cable and sync with your laptop. Until you can sync with outlook or have a desktop client, these apps are all worth very little.

I think this will work: once you're done packing, uncheck all the items so they appear as not completed. I believe that only the completed tasks are deleted.

When will ToDo Matrix have there desktop ready? Your right nothing comes close to ToDoMatrix and IdeaMatrix on the hand held. The current desktop web based application is just OK. As a recent PC to Mac convert I'm struggling b/w a Blackberry Bold (sync issues with Mac) and iPhone (lack of Rex Wireless).

Does the new ToodleDo-To Do List sync tasks with Outlook? I also use Salesforce and it sync tasks between SF and Outlook.

I have the ToDo app and love it. I have set up several projects in it and then synced it to Toodledo. I upgraded my version of Toodledo to Profession so that it can handle sub tasks. However, I never see the projects in Toodledo? Am I crazy, doing something wrong (I hope) or is Projects an iPhone only feature?

Yesterday, I followed the instructions and got Outlook to update with Toodledo and then with my iphone 3GS. Today, I made changes to my Outlook tasks, but they don't seem to sync with Toodledo, even after I press the manual sync buttom multiple times. Do I need to specify a proxy server and if so, how do I do this?

I flag many of my emails in Outlook with a date which they then show up on my task list on the appropriate date. These tasks do not show up in Toodledo thus not my iPhone. Is there a way to sync these flagged email tasks with Toodledo?

I have not found a way to do this, other than with the TaskTask app. It is frustrating that most of these apps focus on the "Task" aspect of Outlook, as opposed to the more powerful "To Do" items — which can include tasks, e-mails, contacts, notes, etc.

If you you have Microsoft Outlook 2003 and higher, Appigo's Todo app will sync with your Outlook client and vice versa through wireless. You don't even have to hook your computer up. The app detects your phone when you change your synchronization options in your IPhone ToDo app.

When I switched from Windows Mobile to the iPhone, I had to find a way to bring my tasks with me since the iPhone doesn't have native task support. Toodledo's website and iPhone app have done the job. I might even have to sign up for the pro account to get ALL of Toodledo's functionality!

I recently installed toodledo, and the process went well overall. However, I am getting an error message which is appearing constantly, even when Outlook is not open:
"A program is trying to access e-mail addresses you have stored in Outlook. Do you want to allow this?
If this is unexpected, it may be a virus and you should choose “No.”
Allow access for 1/2/5/10 minutes."
Has this happened to anyone else? How can I deactivate this error message? Thanks in advance!

I setup a rule in Outlook that states if an email is flagged, the email is moved to my tasks folder.

Correction: a rule moving the email to the tasks folder is not creating a task. i thought it would work, but am mistaken. I apologize.
However, I did find a workaround.
If you DRAG AND DROP the email to the task folder, it will create an actual task that will sync to Toodledo.

Hi Dan- I came across your article(s), really well done. I bought the Toodledo iphone app, and downloaded chromdragon. The tasks from Outlook are now at my Toodledo.com account, but when i press synchronise on the app, I have problems. I have entered my login and password settings, but when i try to save them i get the error message 'you are currently not connected to the internet' (even though I am). (However I can go straight to my tasklist page at toodledo.com by clicking on visit toodeldo . com) What am i doing wrong? Thanks in advance! Keith

I am looking for a good solution for having my Outlook Tasks (and possibly Notes) on my iPhone.
I got a ToodleDo account and downloaded Appigo's ToDo. Then Chromatic Dragon's sync to sync Outlook with ToodleDo. It is all working nicely.
For direct sync with Outlook over your local network, Appigo Sync works well.
I'm a little confused, though, that ToodleDo doesn't support Notes on their iPhone app, though. But Appigo's Notebook does. Huh.
Also, if you use Outlook with MS Exchange, I would probably vote for the app iMExchange by Rerlsoft. It connects directly with the Exchange server and syncs Tasks and Notes. It's not fancy by any means, but it offers pretty much exactly the same functionality as Outlook Tasks–which is to say minimal, but at least it's the same. One drawback of iMExchange: if you have multiple Task folders you won't be able to get all of them. It seems to only see tasks that are at the root level of the Primary Tasks folder.

Thanks very much for this helpful post! The lack of tasks in iPhone was quite disappointing to me (and a mystery why Apple havn't included it), but this the above set-up it works super. Since web-sync is automated, I dont have to do a thing and my computer and iPhone are always in sync. Actually, it would be even better if this web-based sync Outlook-iPhone could be used for not only tasks, but calendar and contacts as well. Then the need for syncing with a cable would be all gone. Does anyone know of such an option?

I read most of what was written here with interest. The downside of all (but one, I think) task syncing programs is the need to install a 3d party intermediary program on your desktop to make the sync work. For people in some corporate environments where installing programs is a no-no, a dead-end is reached.
But, enter RerlSoft products (http://web.me.com/rerlsoft/Rerlsoft/Index.html) that need no intermediary software. They have a free "Lite" version to use to test your connectivity with your Exchange server 1st. It worked great for me in a University setting. The free app lets you view tasks and notes, the paid apps lets you view and edit. Only $7 or $8 depending on features. It is just the right mix and price for me. Look for IMExchange, IMLite, IMNotes and IMTasks in the app store.

You are right on about the $3.99 Toodledoo app. I am a loyal Keytasks user who was unhappy with their decision to drop that app next month. Functionality is the same (excellent) between the two apps and the only downside is that Toodledoo has less appropriate graphics for 60 year old businessman.

I actually have Todo and Toodledo on both iPhone and iPad, and also use the Toodledo website from my laptop and desktop. (Just upgraded my Toodledo account to Pro status, too.)
I’d say that the Todo iPad application is one of the best iPad apps out there, while the Toodledo iPad app is so-so. Todo looks incredible, but it also works very gintuitively. The way you access sub-tasks, for example is way more elegant. It also has Checklists in addition to Projects (Tasks with subtasks), which allows things like shopping lists to stay very simple.
Toodledo, both website and app, has more features than Todo, including start date/time, duration, and a calculated Importance level that is very nice. Todo will allow Projects and Checklists natively, while Toodledo requires a Pro subscription.
On the iPhone, the Todo and Toodledo apps are more similar because of limited space. (And since Toodledo historically had a terrible interface which was recently upgraded, I assume some amount of copying.) Todo does make better use of color, though, and still has a nicer-looking interface. Cost-wise, iPhone Todo is now “on sale” because of the iPad version, at only $5,
I’ve rambled a bit, but my bottom line would be: if you do not own an iPad, you want the cheapest option, or you want every possible scheduling feature, Toodledo is the one to choose. If you have an iPad, Todo is one of the most elegant apps on the iPad. If you want subtasks and checklists without paying an extra yearly fee, Todo. (Todo will sync Projects and Checklists to the Toodledo site, which would normally not support such things without a Pro subscription, but it evidently can’t do this across multiple devices, such as my iPad AND iPhone both. Which is why I upgraded to Pro.) In either case, sync to the Toodledo site and use that on your desktop. (Or on your iPad, too, for a different view of your list than Todo.)

I am in exactly the same situation that you describe – migrating from a Treo to an iphone – and live off my task list in Outlook. Can I ask you if you were able to resolve the situation and what you are using?
