I use Access 2007 as a rolodex. it has over 6,000 names. I filter down to about 500 cutting and adding names regularly. Then I use a query and export the data from the created table into Outlook 2007 contacts. I have to delet all the contacts first or my contact folder will grow too fast.
How can i get the "picture" on the business card to automatically update, either through Outlook itself or by mapping it from Access?

I am trying to sync OL2007 with my Blackberry. I use OL connector so my addresses and contacts are in the hotmail folders. Bberry only recognizes the folders in Personal folders so I have tried to copy my data from my hotmail folders. No prob with contacts cos I can copy and paste but I can only copy the whole calendar folder and that generates a calendar sub folder, which the BB does not find. How do I copy the calendar data into the root personal folder calendar?
Or am I being stupid and missing a much simpler way to do the whole thing.

In outlook go to FILE –> IMPORT EXPORT –> EXPORT TO A FILE –> Select Your Preferred Format –> In the folder tree select CALENDAR

Anything is possible with enough time, money and programming skills! What you are looking it takes a whole lot of customization and VB coding – in the end I suspect it would take much more time and effort that it is worth.

Sounds like you are an advanced user – make sure the Developer option is activated (see http://danielcurran.com/instru.....rt-a-dro...) and when in Outlook, open a contact, select the Developer tab and then DESIGN THIS FORM.
You will see the field names just like you do in Access.

I would like to sync two outlook [calenders/tasks/contacts/notes..] each installed in a separate computer with my windows mobile 6.1 phone. I have no problem sync'ing with between the notebook and the phone. Then I installed outlook on a desktop and the problem is that while the vast majority of the info syncs to the desktop, not all of the info syncs to the desktop. Due to privacy paranoia [per my friends], I do not want to use google calendar or anything that would put the info on any servers… Thank You, Steve

You need to shrink the "Mail, Comments, Calendar, etc" section. Grab the horizontal bar just above the Mail icon and drag it down. This will expand the calendars in the Navigation bar.

OK, this is on the right track. I cannot resize the Mail,Comments, Calendar section. On pointer on bar it shows two headed arrow, but I cannot make any changes. I did remove Tasks and calendar two appeared. There is a section between My Calendars and the bar of Mail, Comments, Calendar that contains links to "How to Share Calendars", "Search Calendars Online", "Add New Group", and three other links. It appears that if I can either shrink that or remove it I will have the calendars I need.
How do I do that?

I have 2007 Outlook. Can I shade a time frame of 11:00-2:00 as a background feature. I know about catagories and do not like that view. I simply want to "shade" a time frame everyday as a reminder. Thank you for any help you can offer.

I'm with ya – I cant imagine why you can't shrink the Mail, Calendar, Comment section . . the bar above it has 5 "dots". Mouse over and you get the two headed arrow, click and drag the box down.
You can also try right clicking on the "Other Calendar" and select "Remove Group"

I don't see a way to just shade a block of time – its a calendar and therefore assumes you are adding appointments. You would actually have to create a calendar entry, make it repeating and give it a category color

I have a calendar I wish to delete from out look 2007, but when I right click on itto delete it, the option is greyed out, while for my other calendars, the option is there. I would just rename it but that too is greyed out. Please help!

How do I make an excel worksheet 'live' in a powerpoint presentation – ie demonstrate a calculation when doing a presentation. I've followed instructions for embedding excel worksheet object into powerpoint but when I display as a presentation the excel worksheet opens as a 'fixed' image – and I want to do simple demonstration of what happens if you alter one figure to a whole load of other numbers.

Reduce the hours printed to "8am – 5 pm" or something else in a 9 hour scale, this will print in 15 minute increments. – Posting this to the main page and deleting this thread soon.

That calendar you cannot delete is your primary calendar. The other ones must have been added later. I don't think you can delete the primary one. What you can do instead is move all of your appointments from one of the other calendars to the primary and delete the old calendar.
Kind of a pain in the rear the first time but it will save you headaches down the road! Don't forget you can use the FILE –> IMPORT / EXPORT options to make it a little easier.

I have neither but the answer is going to be to use a go-between. Sync the palm to Outlook, and then sync Outlook to the Blackberry – or something very similar (Windows Live, Google, Etc.)

There are several ways:
Pick a Calendar entry in Outlook, right click and FORWARD. This will open an email with the calendar file attached. You could email that to someone and when they open the attachment they will be prompted to add it to their calendar.
You could also save that file on a server and link to it. Clicking the link will open an "Import?" box as well. I would guess this iscloser to what you received.

Outlook 2007. I like to start a new outlook.pst at the beginning of each new year. I rename the old outlook.pst outlook2008.pst and can access last years e-mail if necessary. My problem is that I want to migrate my calendar just like it it to the new year. I can make a "CALENDAR1" which is a copy of the last years calendar, but I still have CALANDAR which does not carry over my previous entries. I can not delete CALENDAR and rename CALENDAR1 to CALENDAR. It won't let me. What can I do when I start a new year?
I figlured out a way to copy all my contacts from the previous year and have no problems with CONTACTS.

ok, I have looked all over Google and Microsoft's page but just can't find the answer. Here's my problem. I have a calendar that is located in our public folders and I copied it so that it would show up under my calendar for easy access. I have added many, many appointments, etc to the calendar that is under my calendar but it is not synchronizing up with the public folder calendar (which is technically the same calendar). How can I accomplish that? BTW, I'm using Outlook 2007.

I am using the Toodledo and Chromatic Dragon and it works fine except that before it allows syncing with the Chromatic Dragon it states in a pop-up window that "a program is trying to access email address information stored in outlook" I then have to allow access in order for the sync to continue. Is anyone having this same message and is it a concern for security?

I am using Wordpress on several sites and love it! However its not for beginner – beginners. Maybe a "How to Set Up Wordpress" is in order! Wordpress is easy, its the server side that is new to a lot of people. Setting up the SQL database isnt hard. Good food for thought. Thanks!

Hi. I'd like to embed an outlook form link into a word document. When the user clicks on the link in the word document, an email with the TO and FROM fields populated along with the form in the body of the email. The user does not have to be logged into outlook (of course when they click the link, outlook will open). Please let me know how I can do this.

Hello – hope you can help with this Outlook dilema. We operate a small network using SBS 2003. My Outlook calenadr is the primary calendar that my wife has permission and access to so she can add and delete items, The problem we have is that our windows mobile 6.1 HTC phones only sync with your primary calendar. So my wife does not see any of our calendar events but needs to.
In the absents of using something like ADD2Exchange to share the calendars is there a temportary fix we can use so she can access a joint calendar, making changes as needed and use the same calendar as her primary calandar. We both need to see the same calandar.
What if I set up a Google calendar, gave her access, then she could sync with it as could I?

I have Outlook 2007 and Google sync on my computer. I have my own calendar and a work calendar in overlay mode on my Outlook. When I sync Google to Outlook, it shows all the appointments in Outlook. But when I sync to my phone, it is not taking anything from Google. I have tried everything!

I recently found this and it mentions tracking time while working on a project in Microsoft Office Word. However, it doesn't mention exactly how to do this. I've done some searching but haven't been able to find anything. Does anyone use this, or know how it works? The full description is below.

I am syncing outlook 2003 with toodledoo.com and my iphone 3G. I noticed today that a task I entered on my iphone did not show up in outlook after multiple phone-to-PC syncs. I clicked on the Toodledo Outlook Sync button and selected manual sync and the task immediately popped into outlook. I have a couple of questions. 1) How/when does info I enter into the iphone get into toodledo.com? 2) Do I always have to use the manual sync button to get the tasks from Toodeldo.com to the PC? I have some setting set to allow syncing every hour and it does prompt me for permission every hour to access my outlook contacts. Thanks.

You have probably answered this, and if so, could you direct me to that area of your website? I have a work computer, a home computer, and an iphone. I use outlook at work, and would like to sync the folders and subfolders to my home computer and iphone, but there are alot of them. I tried the trial of Mobile Me, but didn't really set up the folders, just let it sync my contacts and calendar, and that was great, but now that the trial has run out, I can't get those to sync to my iphone at all, so I'm looking for an easy way to get all three devices synced.

I was searching around for some vbs macros code to do some automation work but haven come across with any that really work. I stumled onto your site and it is great, I started to work on the tutorial for sending email from excel it is a great piece of work that you did. If you don’t mind that I request a small tutorial from you, So here is what I am looking for.

Copy Appointments onto a second Calendar in Outlook:- I wish to make an appointment on say our Central Calendar, visible to all my colleagues & also to copy it to my Personal Calendar [I only wish to copy some Appts, not every one, so synch'ing is not an option here] I can put a Move to Another Folder button in the tools bar, but cannot find a Copy to say My Calendar. How do I link a specific Outlook email to a specific Excel cell? I created an Excel spreadsheet tracking my job hunt opportunities and what to link ingoing and outgoing Outlook emails to cells for specific days and specific activities related to a person or company. I read about converting an Outlook email to a Word document, saving the document, and creating an Excel hyperlink to the document. That's inefficient. I'm using MS Office 2007. How can I save a search in outlook '07 & re-use it? I used to be able to save searches in my Outlook 2003, but these will not now run. Example I had a search for all my Calendar entries which read 'RB out' as I share this calendar with several other people. I can then run off a list of all my planned days off to pin on our home notice board. Now I am unable to get this search with all the filters set up to run. I remember reading that MS had created a system 'update' which changed the Registry settings. Any help please?

hey Daniel, (Question from Bolivia) is there anyway to have outlook send e-mails with recurrence…. it would be a time saver for the office… i could just ask for reports or any duties once, and make outlook send those periodically.
is there any way to print an e-mail without printing the whole chain of emails before the last email recevied… when you go to print an email you cannot only print page 1 or 2 or 3, it only prints the entire email and it's chain.

Per your suggestion I downloaded the Toodledo app so that I could keep my Outlook tasks on my Iphone. I them opened the Sync page and saw a different page then you displayed on your website. How can I use Toodledo as a standalone for my Tasks. Thanks for the help.

I have downloaded your excellent excel worksheet that sends an email alert when clicking on the email button. I have one problem however, as an experiment in row 9 I put in my email address and the email alert successfully came to me – this is fine but is it possible to have the email sent with just the middle row of text (which I put in), without the text stating about the precanned text before and after macros.

Also does the worksheet only send the email alerts on the actual date? What I mean is that I want to put a whole column of different dates in column F, highlight all the rows and then click on the SEND EMAIL button. But I only want the emails to be sent on the actual dates and not all at once on the same day. I did experiment with this but unfortunately it sent the emails all at once. Your assistance would be greatly appreciated Daniel. I look forward to hearing from you in due course.

Hello, I own a bus rental company and I am trying to go from a paper system of scheduling to an easier computerized way. When I get a call from a customer, I want to be able to view a yearly calendar or be able to pick a month, then be able to pick a certain day, which would take me to a daily list of times for that day. I want to then be able to see which buses are available and already booked for that day and what time frame they are booked from. I am also wondering if there is a way to calculate automatically how much revenue the bus will bring in based on how long it is booked (each bus has its own hourly fee), I am not a computer guru, but I think I may be able to do it with some instruction. I am not sure if I should be using Excel or Access. Any help you can give me would be appreciated.

I would like to send an email "automatically" from excel. I reveiwed your site and you provided a template on how to send an email from excel, but the email is not sent automatically, bur rather requires the user to actually go into the excel document and click send email.
I work with the US government, and I manage the access control for a building. I issue access control cards for certain periods of time, such as for 1 year. I want excel to send an email to the card holder a message 1 week before their card will expire. How do I do this? Thank you

I'd like to keep reoccuring appointments (to take a certain medication) on my calendar, so I can sync it with alarm to my Palm phone (important) but I don't want it to show on the calendar in Outlook. I have been reading and referencing for three hours and haven't figured it out. Can you help me?

Sharing Outlook calendars, my version is 2007, my partners is 2003. It seems that Outlook 2003 needs to be running on Exchange to be able to share calendars (we dont have exchange). Tried sharing through Google Calendar but Google wont sync my Partners back to my Outlook, – it just syncs mine.
Any suggestions?

Hi – I am trying to import my contacts from an Excel table into Microsoft Outlook. I keep getting a message that says: "An ODBC error has occurred in the Microsoft Ecxel 97-2003 translator while opening a file to build a field map. [Microsoft] [ODBC Excel Driver] too many fields defined."
What do I need to do to get these addresses into Outlook? Should it really be this difficult?

I am still unclear on how to sync my outlook tasks with my new iPhone. I am willing to spend the $10 or $4 or whatever, but I found the instructions in the Nov 2008 article confusing. Have things clarified in the interim?

HELP!!! I need to create a drop down menu in Excel 2007 that will allow me to select more than one choice from the list in the same cell with a comma separation. For instance, if the names are James, George, Keith, and Bob, I want to have the option to select George and Keith. I attempted to change codes in Visual Basic but was unsuccessful. Is there an easier way to do this?

Outlook 2007 – This is a minor thing, but really a pet peeve of mine. I would like to change the default settings of an Event in the Calendar. Most of the time I don't want or need a reminder (setting to default to None instead of 18 hours). Also, I'd like it to default to Out of Office instead of Free. It seems like there would be an easy way to do this – but didn't see anything in Options, Customize, or Properties that would change this.

How do I change the colour of the tabs on the autofilter drop-down menu so I can see more clearly which autofilter is on? i.e. perhaps changing the tab to red.

Do you have any idea of how to wirelessly sync Outlook Notes with the iPhone? The advice on Outlook tasks and the iPhone was right on. I was hoping their is a similar solution for the notes.

New computer, windows 7,installed microsoft office & excell 2007, transfered programs etc to new computer. shows address book as wba or wab, unable to open. also unable to start new address book in microsoft word. address book appears in light print, will not open.

You will most definitely get something on your wish list from me if you can help me with this.
I followed you directions on installing and setting up Toodledo on my iPhone 3Gs and my tasks are syncing up between my iPhone and Outlook just fine. The only thing I can't figure out is getting alerts/reminders on my iPhone when I create a task with a reminder time in Outlook on my PC.
I see that in your instructions you said to go to "Connection Settings" on the Toodledo website and then enter following:
"myphonenumber"@txt.att.net in the address field
"1-2 hours" in the Lead time field
"999" in the Daily limit field.
BUT…I cannot find anything that says "Connection Settings" on my Toodledo page.

I have a PDA running WinMobile 2003SE and it contains all my contacts and calendar events.
I just installed Outlook 2007 on my home computer that is running on Win XP Pro (SP3) that is permanently online to the internet. With Activesync 4.5 and the 2 machines connected, I am not able to sync my CONTACTS and CALENDAR.
Any suggestions why or how? It looks like I need to specify a SERVER connection (WTF?) to sync those 2 items and I don't know how to do that? ANY HELP would be appreciated! Many thanks in advance!

Hi! I'm a consultant and I contract through several firms that have created e-mail addresses they want me to use for my work with them, so I have four different e-mail accounts that I access through Outlook 2003. It's easy to use the right address when I reply to messages that come in to each address, but I had to pick one address as the default when I start a new message, and when e-mails are flying under deadline I sometimes forget to manually change my From address to match the client. This is bad. Is there any way to have Outlook give me a pop-up before I send asking which account I want to send from? Or any other ideas?

I am an excel novice trying to put together a project calculation sheet. I need to calculate total days between 2 dates excluding each and every friday. (middle east, they like to be different) My dates refer to job start and finish and i need the number of working days to automatically calculate costs on a lower table. I have seen an aray of suggestions but i cant get them to work to suit my requirements. (just calculating 6 out of seven days dosent help as a 3job with a 4 day duration falling over a friday needs to show 3 working days where as a 4 day jod mid week would show 4 working days. My dates are input from a Developer tab 'date and time picker' (thanks to your previous post) and linked to a normal cell in standard date format. NETWORKINGDAYS as you know calculates with SAT and SUN off.
is there any way to add a new formular or modify an existing…??? if not any crack at a solution would be great.
all help greatly appreciated.

I have Office 2007 Enterprise running on Windows 7 64 bit. I have followed the instructions to install the Microsoft Date & Time Picker Control 6.0 but cannot get it to work and/or show up in my Developer Tools. Any idea how to accomplish this?

I have installed Outlook 2007 on both my home PC and a laptop, and have networked both via wireless broadband for file sharing. Is it possible to also network both so that the Outlook function on both machines is always in synch? In other words, how do I link Outlook on both machines so that any calendar or contact changes I make on the laptop are also picked-up automatically in Outlook on the PC, and vice-versa?

I just started using toodledo. It synchronizes nively from Outlook to the web to the iphone, but not the other way round. I have added a task on te Iphone, I see this in toodledo on the web, but not in my Outlook list, although I did synchronize. A task I added in Outlook did synchronize well to Toodledo. What now?

I have a laptop for home use and a laptop for travel. How can I view my outlook calendar both computers? Currently I am only able to view on my home laptop. When I open outlook on my travel laptop, the calendar is blank.
