This started off as a family and friends page for family and friends.

I wanted to archive how-to’s and what’s ups here in plain, easy to understand English with concise examples.

I am amazed at how fast the site visitorship is growing and am happy to share my computer and internet knowledge with anyone who asks.

I will post the solution and directions as soon as I can get to it and in the meantime, people can respond here as well.

  2. Make a "How To" request by selecting POST A NEW COMMENT, reply to other requests by selecting POST REPLY under the comment.

    Also check out the "Follow This Discussion" options to see if your question is answered.

  3. In outlook go to FILE –> IMPORT EXPORT –> EXPORT TO A FILE –> Select Your Preferred Format –> In the folder tree select CALENDAR

  4. Anything is possible with enough time, money and programming skills! What you are looking it takes a whole lot of customization and VB coding – in the end I suspect it would take much more time and effort that it is worth.

  5. Sounds like you are an advanced user – make sure the Developer option is activated (see http://danielcurran.com/instru.....dro…) and when in Outlook, open a contact, select the Developer tab and then DESIGN THIS FORM.

    You will see the field names just like you do in Access.

  10. You need to shrink the "Mail, Comments, Calendar, etc" section. Grab the horizontal bar just above the Mail icon and drag it down. This will expand the calendars in the Navigation bar.

  11. I'm with ya – I cant imagine why you can't shrink the Mail, Calendar, Comment section . . the bar above it has 5 "dots". Mouse over and you get the two headed arrow, click and drag the box down.

    You can also try right clicking on the "Other Calendar" and select "Remove Group"

  12. I don't see a way to just shade a block of time – its a calendar and therefore assumes you are adding appointments. You would actually have to create a calendar entry, make it repeating and give it a category color

  14. Reduce the hours printed to "8am – 5 pm" or something else in a 9 hour scale, this will print in 15 minute increments. – Posting this to the main page and deleting this thread soon.

  15. That calendar you cannot delete is your primary calendar. The other ones must have been added later. I don't think you can delete the primary one. What you can do instead is move all of your appointments from one of the other calendars to the primary and delete the old calendar.

    Kind of a pain in the rear the first time but it will save you headaches down the road! Don't forget you can use the FILE –> IMPORT / EXPORT options to make it a little easier.

  18. I have neither but the answer is going to be to use a go-between. Sync the palm to Outlook, and then sync Outlook to the Blackberry – or something very similar (Windows Live, Google, Etc.)

  20. There are several ways:

    Pick a Calendar entry in Outlook, right click and FORWARD. This will open an email with the calendar file attached. You could email that to someone and when they open the attachment they will be prompted to add it to their calendar.

    You could also save that file on a server and link to it. Clicking the link will open an "Import?" box as well. I would guess this iscloser to what you received.

I am using the Toodledo and Chromatic Dragon and it works fine except that before it allows syncing with the Chromatic Dragon it states in a pop-up window that "a program is trying to access email address information stored in outlook" I then have to allow access in order for the sync to continue. Is anyone having this same message and is it a concern for security?

  29. I am using WordPress on several sites and love it! However its not for beginner – beginners. Maybe a "How to Set Up WordPress" is in order! WordPress is easy, its the server side that is new to a lot of people. Setting up the SQL database isnt hard. Good food for thought. Thanks!

  33. Hi. I'd like to embed an outlook form link into a word document. When the user clicks on the link in the word document, an email with the TO and FROM fields populated along with the form in the body of the email. The user does not have to be logged into outlook (of course when they click the link, outlook will open). Please let me know how I can do this.

  37. Hello – hope you can help with this Outlook dilema. We operate a small network using SBS 2003. My Outlook calenadr is the primary calendar that my wife has permission and access to so she can add and delete items, The problem we have is that our windows mobile 6.1 HTC phones only sync with your primary calendar. So my wife does not see any of our calendar events but needs to.

    In the absents of using something like ADD2Exchange to share the calendars is there a temportary fix we can use so she can access a joint calendar, making changes as needed and use the same calendar as her primary calandar. We both need to see the same calandar.

    What if I set up a Google calendar, gave her access, then she could sync with it as could I?

  38. I have Outlook 2007 and Google sync on my computer. I have my own calendar and a work calendar in overlay mode on my Outlook. When I sync Google to Outlook, it shows all the appointments in Outlook. But when I sync to my phone, it is not taking anything from Google. I have tried everything!

    I recently found this and it mentions tracking time while working on a project in Microsoft Office Word. However, it doesn't mention exactly how to do this. I've done some searching but haven't been able to find anything. Does anyone use this, or know how it works? The full description is below.

  46. I am syncing outlook 2003 with toodledoo.com and my iphone 3G. I noticed today that a task I entered on my iphone did not show up in outlook after multiple phone-to-PC syncs. I clicked on the Toodledo Outlook Sync button and selected manual sync and the task immediately popped into outlook. I have a couple of questions. 1) How/when does info I enter into the iphone get into toodledo.com? 2) Do I always have to use the manual sync button to get the tasks from Toodeldo.com to the PC? I have some setting set to allow syncing every hour and it does prompt me for permission every hour to access my outlook contacts. Thanks.

  48. You have probably answered this, and if so, could you direct me to that area of your website? I have a work computer, a home computer, and an iphone. I use outlook at work, and would like to sync the folders and subfolders to my home computer and iphone, but there are alot of them. I tried the trial of Mobile Me, but didn't really set up the folders, just let it sync my contacts and calendar, and that was great, but now that the trial has run out, I can't get those to sync to my iphone at all, so I'm looking for an easy way to get all three devices synced.

    I was searching around for some vbs macros code to do some automation work but haven come across with any that really work. I stumled onto your site and it is great, I started to work on the tutorial for sending email from excel it is a great piece of work that you did. If you don’t mind that I request a small tutorial from you, So here is what I am looking for.

    I tried to install the Toodledosync Download application onto my PC but an error message came appear and it says – "Error 1001. Could not load file or assembly 'sorttbls.nlp' or one of its dependencies system could not find the file specified….

  58. How do I link a specific Outlook email to a specific Excel cell? I created an Excel spreadsheet tracking my job hunt opportunities and what to link ingoing and outgoing Outlook emails to cells for specific days and specific activities related to a person or company. I read about converting an Outlook email to a Word document, saving the document, and creating an Excel hyperlink to the document. That's inefficient. I'm using MS Office 2007. I thought I could link any object/record from one Office program directly into another Office program. Thank you.

  59. How can I save a search in outlook '07 & re-use it? I used to be able to save searches in my Outlook 2003, but these will not now run. Example I had a search for all my Calendar entries which read 'RB out' as I share this calendar with several other people. I can then run off a list of all my planned days off to pin on our home notice board. Now I am unable to get this search with all the filters set up to run. I remember reading that MS had created a system 'update' which changed the Registry settings. Any help please?

  61. hey Daniel, (Question from Bolivia) is there anyway to have outlook send e-mails with recurrence…. it would be a time saver for the office… i could just ask for reports or any duties once, and make outlook send those periodically.

    is there any way to print an e-mail without printing the whole chain of emails before the last email recevied… when you go to print an email you cannot only print page 1 or 2 or 3, it only prints the entire email and it's chain.

  62. Per your suggestion I downloaded the Toodledo app so that I could keep my Outlook tasks on my Iphone. I them opened the Sync page and saw a different page then you displayed on your website. How can I use Toodledo as a standalone for my Tasks. Thanks for the help.

    I have downloaded your excellent excel worksheet that sends an email alert when clicking on the email button. I have one problem however, as an experiment in row 9 I put in my email address and the email alert successfully came to me – this is fine but is it possible to have the email sent with just the middle row of text (which I put in), without the text stating about the precanned text before and after macros.

  65. Also does the worksheet only send the email alerts on the actual date? What I mean is that I want to put a whole column of different dates in column F, highlight all the rows and then click on the SEND EMAIL button. But I only want the emails to be sent on the actual dates and not all at once on the same day. I did experiment with this but unfortunately it sent the emails all at once. Your assistance would be greatly appreciated Daniel. I look forward to hearing from you in due course.

  66. Hello, I own a bus rental company and I am trying to go from a paper system of scheduling to an easier computerized way. When I get a call from a customer, I want to be able to view a yearly calendar or be able to pick a month, then be able to pick a certain day, which would take me to a daily list of times for that day. I want to then be able to see which buses are available and already booked for that day and what time frame they are booked from. I am also wondering if there is a way to calculate automatically how much revenue the bus will bring in based on how long it is booked (each bus has its own hourly fee), I am not a computer guru, but I think I may be able to do it with some instruction. I am not sure if I should be using Excel or Access. Any help you can give me would be appreciated.

  69. I would like to send an email "automatically" from excel. I reveiwed your site and you provided a template on how to send an email from excel, but the email is not sent automatically, bur rather requires the user to actually go into the excel document and click send email.

    I work with the US government, and I manage the access control for a building. I issue access control cards for certain periods of time, such as for 1 year. I want excel to send an email to the card holder a message 1 week before their card will expire. How do I do this? Thank you

I'd like to keep reoccuring appointments (to take a certain medication) on my calendar, so I can sync it with alarm to my Palm phone (important) but I don't want it to show on the calendar in Outlook.   72. Sharing Outlook calendars, my version is 2007, my partners is 2003. It seems that Outlook 2003 needs to be running on Exchange to be able to share calendars (we dont have exchange). Tried sharing through Google Calendar but Google wont sync my Partners back to my Outlook, – it just syncs mine.

  73. Hi – I am trying to import my contacts from an Excel table into Microsoft Outlook. I keep getting a message that says: "An ODBC error has occurred in the Microsoft Ecxel 97-2003 translator while opening a file to build a field map. [Microsoft] [ODBC Excel Driver] too many fields defined."

    HELP!!! I need to create a drop down menu in Excel 2007 that will allow me to select more than one choice from the list in the same cell with a comma separation. For instance, if the names are James, George, Keith, and Bob, I want to have the option to select George and Keith. I attempted to change codes in Visual Basic but was unsuccessful.   78. Outlook 2007 – This is a minor thing, but really a pet peeve of mine. I would like to change the default settings of an Event in the Calendar. Most of the time I don't want or need a reminder (setting to default to None instead of 18 hours). Also, I'd like it to default to Out of Office instead of Free. It seems like there would be an easy way to do this – but didn't see anything in Options, Customize, or Properties that would change this.

    I followed you directions on installing and setting up Toodledo on my iPhone 3Gs and my tasks are syncing up between my iPhone and Outlook just fine. The only thing I can't figure out is getting alerts/reminders on my iPhone when I create a task with a reminder time in Outlook on my PC.

    I see that in your instructions you said to go to "Connection Settings" on the Toodledo website and then enter following:

    "myphonenumber"@txt.att.net in the address field

    "1-2 hours" in the Lead time field

    "999" in the Daily limit field.

    BUT…I cannot find anything that says "Connection Settings" on my Toodledo page.

  86. I have a PDA running WinMobile 2003SE and it contains all my contacts and calendar events.
    I just installed Outlook 2007 on my home computer that is running on Win XP Pro (SP3) that is permanently online to the internet. With Activesync 4.5 and the 2 machines connected, I am not able to sync my CONTACTS and CALENDAR.
    Any suggestions why or how? It looks like I need to specify a SERVER connection (WTF?) to sync those 2 items and I don't know how to do that? ANY HELP would be appreciated! Many thanks in advance!

I'm a consultant and I contract through several firms that have created e-mail addresses they want me to use for my work with them, so I have four different e-mail accounts that I access through Outlook 2003. It's easy to use the right address when I reply to messages that come in to each address, but I had to pick one address as the default when I start a new message, and when e-mails are flying under deadline I sometimes forget to manually change my From address to match the client. This is bad. Is there any way to have Outlook give me a pop-up before I send asking which account I want to send from? Or any other ideas?

    I am an excel novice trying to put together a project calculation sheet. I need to calculate total days between 2 dates excluding each and every friday. (middle east, they like to be different) My dates refer to job start and finish and i need the number of working days to automatically calculate costs on a lower table. I have seen an aray of suggestions but i cant get them to work to suit my requirements. (just calculating 6 out of seven days dosent help as a 3job with a 4 day duration falling over a friday needs to show 3 working days where as a 4 day jod mid week would show 4 working days. My dates are input from a Developer tab 'date and time picker' (thanks to your previous post) and linked to a normal cell in standard date format. NETWORKINGDAYS as you know calculates with SAT and SUN off.

    is there any way to add a new formular or modify an existing…??? if not any crack at a solution would be great.

Is it possible to also network both so that the Outlook function on both machines is always in synch?   105. Here's a good one…How do I sync a shared office calendar through my exchange server so that I can view the shared calendar on my mobile device (iPhone). I can only see the calendars that are physically on my machine right now on the mobile device, but I can't view the calendar that was shared with me on my mobile device. Thanks for your help.

  106. Daniel..first just wanted to let you know I have learned more from you than I ever learned from 3 years at Duke and 2 years at Rice! I could've saved a ton of money had I earned my "Degrees from the School of Daniel" instead of the ones from Duke & Rice! However, I am currently suffering from a major brain fart (please excuse my language-I've spend a week trying to prove my boss wrong to no avail! Horrors – beginning to think I'm..gasp…wrong!) I'd bet my life that at one time I was able to insert a calendar into an Excel Workbook w/o using Outlook, which is all I'm wanting to do now. However, I know I was not only able to insert calendars but had also figured out how e-mail conferences I accepted automatically posted to my Excel workbooks w/o being attached/configured to my Outlook in any way. However, I would like to send an automated email that will look at a date and send the email if the current date is equal to the date in the cell. Is this achievable?     I searched your forum, but didn't see the answer to this particular issue. I'm trying to figure out (since October!) how to get my Outlook (2003) email on my iPhone. I've been told it's not a difficult process…HA! Neither hours on the phone with AT&T nor Apple have gotten it working. It floors me that I was able to set up my work email (we use an exchange server) on my BlackBerry BY MYSELF in about 5 mins, but can't get it working on my iPhone to save my life. My thought was, if there was someone that understood the blackberry & the iphone processes they might be able to help.

    Here were my BB setup steps (i've generalized for security's sake):

    (now, I always chose – additional settings & Microsoft Exchange – using Microsoft Outlook Web Access)

    Below is what it requested:

    Email Address: bobs@mycompanyname.com
    Email Password: **************
    Web Access URL: http://11.11.111.11/exchange
    User Name: bobs
    Mailbox name: bobs

    And it worked like a top immediately.

    I've tried several different combinations of the info above to enter into the iPhone Exchange email settings and nothing seems to work.

    Any ideas?

  119. I want to know if it is possible to have a drop down list in Excel 2007 witht the capability to type in text and automatically come up without scrolling the list. Example…my list has project numbers and descriptions that start with different letters, A1356A08, T1252A10, N0684B94 or E1915A09. I have it set up as a dropdown list but would like to be able to type in T and get the first T project number to come up from the list and hit enter to automatically have it appear in cell.
    Is that possible? I think it can be done in Access but want it to work in Excel also.

The problem is that once this process is done, I can't tell which item comes from which calendar. Is there a way to color code what comes in from google?   125. Tasks that I enter on Outlook 2007 on my PC appear just fine in Toodledo and then on my iphone. Taks that I add on my iphone make their way to Toodledo but NEVER show up in Outlook. I seem to have tried toggling different settins but with no luck. I am an emergency/crisis reponder and twice now, this problem has added chaos to already challenging situations. Would greatly appreciate any assistance possible to remedy this. Thanks.

    I'm new to ipod and am a non-Mac user. I found your page regarding outlook/tasks/toodledo/appigo.
    I rely on outlook for calendar and tasks and so was looking for a way to sync tasks. Not having access to wifi is common throughout my workday.
    The following statement on that page confused me:
    "ToodleDo is now available as a native application on your iPhone. You can use it as a standalone application, or you can have it seamlessly synchronized with Toodledo.com, so you will always have access to your important tasks, even when you don’t have an internet connection."
    Why/how does synchronizing with a website allow access when there's no internet connection? Or is using it as a stand-alone that provides that?

My command uses Outlook 2003 Calendar extensively and the question was posed is there a way to hyperlink events/appointments in Calendar. The premise behind this is that by clicking on hyperlinked event it would take you to a file/doc that had more detailed information on said event; you know the 5w’s.   139. I have a question about assigning appointments to a specific account. Say i have 3 email address all pop, all defaulting into one .pst file and using one calendar.

    When i create an appointment, i want to know for which account this appointment is for. This works fine if i send an invite, since the invite opens up the "Account" button where i can select the email address i want to send the invite from. Outlook then maintains the Account associated with the appointment. However, without an invite how do i accomplish the same thing for my own organization? If this is possible, is there something i can activate in the appointment view/form that easily shows me which account the appointment is associated with?

  144. Until yesterday, I was able to access all internet links from email in Outlook 2007. Now when clicking a link, I receive the message, "This operation has been cancelled due to restrictions on this computer". I remember the problem existed when I first installed Outlook several years age, and eventually I found some instructions on the internet which corrected the problem. I have been looking, but cannot find any suggestions that work.

    Can you help me properly format an excel spread sheet to do what I need it to do? I can e-mail you the excel workbook I have made and the data that I'm trying to paste in. From the info I'm pasting I need excel to recognize the date in on column and automatic add three days to that date in another column. I read some where that you can make excel send reminders based on a date entry. If this is true it would be a god send to me! Lastly in another column I need it to registrar when I either check complete and it can see the original date and the date that I'm saying the project is complete and in another column show me the total days it took for this project to be compete. Basically I'm a state trooper in charge of a shift. We get a cad (report of all complaints that our officers were sent on during their shift). We then print that sheet out from an online web based word document, and hand check each complaint, each time someone sends a report in for approval we then has to flip through print outs, find the report and draw a red line through it, after that we have to look at the date of each pending report on that print out and send an email to every officer who doesn't have the report turned in in 3 days from the date they were dispatched to it. In the email we have to type in all the information that was original in the online word document. This way of doing it is insane to me. If we start with an electronic document which is laid out in a column entry I would like to just copy and paste into excel. When I paste it I want excel to see the date, add the three, days, send a reminded email if I haven't cleared it out by then, and lastly keep a sum of how many days it took the officer to complete it. In doing so, I am providing a formula of (=’Data Input Sheet’!D3). The funny thing is, everytime I do that it only shows ‘Data Input Sheet’!D3 in the field.     Ok, so here is my delema / issue. I have a family calandar (google) and a personal calandar (also google), and an outlook (work, exchange server) calandar.

    I have google sync working to sync, and it is working fine. I have my family calandar shared with my personal google calandar. When I put something on my family calandar, it posts the event to my personal google, no problem, but doesnt make it to the outlook calandar.

    It all works fine, but the missing piece is the family calandar events making it to outlook. Any advice?

  169. Dan, firstly GREAT SITE. I have been building a workflow excel spreadsheet for my company and have solved numerous issues just by using your site. I have one BIG issue realting to conditional formatting I am hoping you can help with, so here goes. The spreadsheet is designed to track the progress of the various stages of our building jobs. Each job has a row and the various stages are tracked via the columns. I have utilised a set up whereby if an item (such as a kitchen) is ordered the date of the order is entered into a cell titled "ordered" and the next cell "installed" is filled red (to indicate outstanding work) based upon the value of the previous cell "ordered" being greater than 0. SECOND COMMENT TO FOLLOW

Then once a date is entered into the "installed" cell it is filled green to indicate completed work (based upon its value being greater than 0) and the next cell is then filled red to indicate the next stage of outstanding work and so on. I have created a "Master Job" row with all the relevant formulas and formatting completed BUT no dates etc entered and my intention was to just copy the whole "Master Job" row and paste in as a new job and then enter dates etc to start tracking the actual job. The issue I have is that when I copy and paste the row the formulas reference the new row (realtive) BUT the formatting of the cells still looks to the master jobs rows/cells (absolute) and not at the new jobs rows/cells and all my formatting is lost and has to be reset tos uit the new row. PLEASE HELP

  172. I am working on a massive scheduling spreadsheet for a doctor's office and I have it all ready except for one thing that has stumped me. I have 20 boxes per day that need a time input (7:20am, etc.). I can't figure out a simple way for them to choose the time.
